How to choose recruiting software: 10 questions

Use these questions when you compare recruiting systems. Most can be answered on the vendor's website or in a free trial, before you talk to a salesperson.

Price and commitment

  1. Is the price on the website? If not, ask about the renewal price as well. Price increases at renewal and paid add-ons are the most common complaint about recruiting software in user reviews.
  2. Is there a free plan or a trial without a card? Then you can test with a real job.
  3. What does the price count? Users, active jobs or the number of employees in your company. That decides what it costs when you grow.

Candidates

  1. Where do applications come from? Job boards, your own career page, a widget on your website and email. Can you forward applications that arrive by email?
  2. Does every candidate get a reply? Look for templates and reminders, so nobody waits for weeks.
  3. Can candidates book an interview time themselves? It saves a lot of back-and-forth email.

Data and law

  1. Where is the data, and is there a data processing agreement? Data in the EU and a list of sub-processors are the minimum.
  2. Are applications deleted automatically? The Danish Data Protection Agency expects a fixed retention period; 6 months after the recruitment ends is a common default.
  3. How is AI used? AI that assesses candidates is high-risk under the EU AI Act from 2 December 2027. A person should make the decision, and every assessment should be explainable.

Language and team

  1. Does it work in your languages? In Denmark many applications arrive in English, Polish, Ukrainian and other languages. Check that the system can read CVs in them, and that your team can use it in Danish or English.
