Automation and candidate emails
Automation decides what candidates hear from you, and when. Nothing is switched on by default: until your company sets it up, no email goes to a candidate.
Start with the wizard
Employer cabinet → your company → Automation → Wizard. Six steps, with ready scenarios:
| Scenario | What it switches on |
|---|---|
| Minimum | Confirmation of every application |
| Standard | Confirmation, interview invitation with a booking link, rejection queue for your approval |
| Autopilot | As Standard, plus reminders and rejections sent after a delay you can cancel |
| Agency | Tuned for agencies working for clients |
You choose the sender name, quiet hours and whether to follow Danish working days. Everything can be changed later.
How rules work
A rule has an event (new application, stage change, deadline, no reaction for N days), conditions (for example job, stage or source) and actions (send an email from a template, create a task, move a stage, notify the team, call a webhook, wait).
Each rule runs in one of three modes:
- Manual: the action is prepared, and someone on the team sends it.
- Confirm: the action waits in a queue for approval.
- Automatic: the action runs, after a delay if you set one. The delay is also your cancel window.
Before switching a rule on, run a dry run: it shows what the rule would have done over the last 30 days, without sending anything.
Templates
Templates come in Danish, English and Ukrainian with variables such as the candidate's first name, the job title and your company name. Edit them, preview them on a real candidate, and return to the default text at any time.
Rejections and the AI
The AI never rejects anyone. A rejection is sent by a person, or by a knock-out rule your company wrote (for example "no right to work in Denmark"), and such a rule always waits at least 60 minutes so it can be cancelled.
Candidates' choices
Every email has an unsubscribe link. Joining your talent pool always takes the candidate's own click. There are no pre-ticked boxes.
The log
The automation page shows what was sent, what is scheduled (with a cancel button) and what was cancelled, with statistics per rule.
