Inbox: email addresses, forwarding and IMAP

Many applications still arrive by email. jah.dk gives you addresses that turn emails into candidates. It can also read your existing mailbox.

Your addresses

Address Use
your-company@jah.dk Everything for your company. Applications without a clear job go to General applications.
your-company+lager@jah.dk One job. Put it in the job ad, or forward applications for that job here.

Each job gets its own address when you publish it; you find it on the project page.

What happens to an email

  1. Each attachment (PDF, Word, ODT, RTF, text) is read as a CV or document.
  2. The sender becomes a candidate in the right project. If the email was forwarded, say from a Jobindex notification, the candidate is the person in the application, not you.
  3. If the person is already a candidate (same email, then same CV file), the new files are added to the existing candidate. No duplicates.
  4. Emails without an attachment that don't look like an application are skipped, and the log says why.

The inbox log shows every message and what became of it.

Forwarding rules

You don't need to change email provider. Set a rule in your own mail:

  • Gmail: Settings → Filters → Create a filter (e.g. subject contains "Ansøgning") → Forward to your-company@jah.dk. Gmail first sends a confirmation email to the forwarding address. It shows up in your jah.dk inbox log with the confirmation link.
  • Outlook / Microsoft 365: Settings → Mail → Rules → Add new rule → Forward to your-company@jah.dk.
  • one.com, Simply and others: use the forwarding or filter setting in webmail.

Connect your own mailbox (IMAP)

Prefer to keep jobs@yourcompany.dk as the address candidates see? Connect it:

  1. Employer cabinet → your company → Inbox → Connect mailbox.
  2. Enter the IMAP server, port (usually 993), user name and an app password, and choose the folder to read (e.g. INBOX or Applications).
  3. jah.dk checks the folder regularly and processes new messages only. The password is stored encrypted and is used for nothing else.

Tip: create a separate folder and a rule that moves applications into it. Then jah.dk reads only what it should.

Replies to candidates

jah.dk writes to candidates only what your company has switched on (confirmations, invitations, document requests, rejections), in the mode you chose: manual, after your approval or automatically with a cancel window. See Automation. Candidates' replies come back into their history.
